4 Quick Ways to Flow Media into Everyday Platforms

The closer you get to the end of the school year, the quicker time seems to fly by! When faced with a never ending list of things to do each day, the task of collecting, organizing, curating and archiving photos and videos seems daunting. What can we do to make our life a little easier?  
Here are a few ways to lighten the load using your photo management system’s built-in integrations and features:

  • Embed videos from Youtube or Vimeo directly into your albums along with other photos.
  • Use Slideshows to share media both publicly and privately with your community.
  • Integration with Microsoft Office 365 to create compelling presentations and documents.
  • Student Information System (SIS) Integrations with Blackbaud and Veracross.

If you aren’t familiar with Vidigami, this is a private, invite-only media management platform designed exclusively with schools in mind to capture, organize and privately share photos and videos among their communities year after year.

1 – Embed Videos

Are you using YouTube or Vimeo to host your school’s videos? These 2 platforms are widely used, and content hosted there can be easily embedded to other 3rd party end points – such as blog posts, LMS announcements, website pages, and social media posts. Now, there’s a way to link these videos right into your photo management system, too! 
This is useful for several reasons:

  • It eliminates the need to unnecessarily re-upload content into multiple platforms (making it challenging to make updates and changes to the original after the fact!)
  • It allows you to centralize all relevant content surrounding a specific event or topic in one place for your community
  • It can save you a large portion of your storage space (if your solution happens to have a limit on video uploads)
  • It centralizes stats – so you can track important metrics such as views right from the original upload source. For example, if the majority of your video viewers may be subscribed to and are actively watching content on your school’s YouTube channel, it is recommended that you use that same video link when embedding the media to other sources, like the school website or LMS, so you can continue to use YouTube to keep track of those views from all external sources as well.

Pro Tip: Create an album for a big event like the year-end graduation ceremony, where you can collect all the event and attendees’ photos in one place along with a full length video of the entire ceremony! This allows your community to engage with all this content in one place, whether it’s in the present, or five years down the line.

2 – Share Slideshows Externally

While you may want to share some media out to families and partners via social media or email, you may also wish to keep certain school content private and secure. Consider how you can still share content outside your photo management platform in a way that strips all metadata associated with each image, and in doing so, protects student data privacy. This is where Slideshows come in. Now that all your content is stored in one place, start thinking about how you would like to display and share your content with your current community and prospective families. 

Within your Vidigami platform, you can curate images as an individual or as a team into a shared collection (Group Set), then generate a HTML link and iframe embed code for that collection in the form of a dynamic slideshow.  Watch Tutorial.
Note: users must have the relevant permissions to curate and share slideshows outside of Vidigami.

A “Living” Link: Group Sets are dynamic. This means that if you continue to contribute new images to your set after you have already published the link externally, the slideshow will automatically be updated. Here are 3 great tricks to try:

  • You can easily set up Group Sets for teachers to help them save time and give families a link to the slideshows, which they can bookmark and view what’s happening in the classroom at their leisure.
  • The link or embed code for a main Group Set can be dropped into your website’s homepage to showcase “Top Photos of the Week” or posted to your preferred social media channel to share the slideshow directly with your followers. 
  • Have your web developer embed a slideshow right into your school’s website. This way, you can continue to add content into the slideshow through Vidigami without the need to frequently update the website.

3 – Flow Media into Microsoft O365

Wouldn’t it be great to instantly add photos of all the wonderful things happening at school straight right into your Powerpoint presentations or Word documents?
In addition to pushing content out to your internal and external community, the Vidigami Photo Selector Add-In for Microsoft Office 365 gives you a way to access curated content within your Vidigami Sets, which you can easily select and place photos into any document you are working on. 
With Powerpoint, students can enhance their presentations through Design Ideas, which include various templates that photos can easily be dragged and dropped into from their “My Sets” from Vidigami, without having to leave the application. Meanwhile, teachers can save time and effort through this integration as they can quickly reference a curated set of photos of their students in class, select a few for their year-end report or newsletter and share it to the rest of the community. Watch Tutorial.

4 – Stay in Sync with your SIS

Media is considered personally identifiable data, and it’s important to keep this data secure and consistent. As the content manager at your school, it’s also important to be able to access this information. This way, people can respectively be tagged in photos (and their work) when due, keeping everything organized and searchable internally. This is why you need to ensure that the data stored in your photo management platform matches the information from your SIS (student information system).
Vidigami supports user data management though 2 Student Information System (SIS) integrations. This allows you to sync your school database with your Vidigami Users List for better management of your members, grade group memberships and more, year after year.

  1. Blackbaud: offers the option to set up a Vidigami title card on your Blackbaud Resource Board for your parents to be able to access Vidigami through this additional channel. Please note that there is an annual $300 fee associated with this sync that Blackbaud charges when a school integrates and syncs with them.
  2. Veracross operates slightly differently, as there is only the user data component with your user data being pulled from your SIS. There is no parent portal option available with this integration.
